Extract PDF Tables and Check Spreadsheet Data
Recover tabular values from a PDF and audit the resulting workbook before using it for calculations.
Open the tool ↓Confirm that you have a table to extract
This utility detects tables in PDF page content. It does not turn every page into a spreadsheet, infer a full database schema, or recreate the source workbook’s formulas. Scanned page images generally need a different recognition/preparation workflow before values can be extracted reliably.
PDF to Excel
Open the dedicated conversion workflow to upload your file, follow job progress, and download the result. This utility processes files on Toolza’s server.
Open PDF to Excel →Test a table with a known total
Use a short PDF containing a visible two-column table with values you can verify by hand. After conversion, compare the first row, middle row and total with the source. If two tables occur on one page, inspect whether they appear on separate worksheets as intended.
The implementation creates a worksheet for each detected table, named by its page/table position. It normalises cell contents to strings, replaces internal newlines with spaces and pads short rows. That preserves a visible number as text rather than silently choosing a numeric data type, but it does not preserve every original whitespace distinction.
- Select the PDF in the standalone tool and convert.
- Download the XLSX result.
- Match worksheet tables to their source pages.
- Validate column boundaries and only then choose spreadsheet types or formulas.
Do not mistake extracted text for recovered formulas
A printed total such as 1,250.00 is a value on the page. The output does not know which formula originally produced it. Set numeric formats and recompute totals explicitly when appropriate; do not assume cells stored as strings will participate in arithmetic as you expect.
Merged headers, faint grid lines, multi-line cells and borderless layouts can confuse table detection. Check row alignment before copying a column into another dataset. Missing or shifted cells can be more consequential than an obvious conversion error.
Troubleshoot no-table and size errors
A PDF with prose or images but no detectable table can correctly return a no-tables message. The default implementation limit is 100 pages and may be configured by the service; follow the actual displayed error. Extract a small relevant section with Extract PDF Pages rather than uploading an entire archive.
The file is processed on Toolza’s server. Keep the source and download the result promptly. For the opposite direction, Excel to PDF renders fixed pages and does not make this table-extraction process losslessly reversible.
