Make a Scanned PDF Searchable and Check It
Add a searchable text layer to scanned PDF pages and verify recognised words against the visible document.
Open the tool ↓Check whether OCR is needed
Try selecting a visible sentence in a PDF viewer and searching for a distinctive word. A scanned page can look like text while containing only an image. A mixed document may have selectable text on some pages and images on others, so check more than the cover.
PDF OCR / Searchable PDF
Open the dedicated conversion workflow to upload your file, follow job progress, and download the result. This utility processes files on Toolza’s server.
Open PDF OCR / Searchable PDF →Run a controlled search test
Choose a short scanned PDF with a clear word you can identify visually. Select the document’s language in the standalone OCR workflow, run the job and download the searchable PDF. Search for that word and copy a sentence to check the hidden recognised text.
- Retain the original PDF.
- Choose the primary language and optional English recognition.
- Leave Force OCR off for an ordinary first attempt.
- Inspect search, copying, page count and visible orientation in the result.
Selecting a language is not translation. Text recognition can fail on small, blurred, handwritten or complex multi-column material, and successful search for one word does not prove every page is accurate.
Understand mixed and already-searchable files
The normal backend workflow uses OCRmyPDF’s skip-text behavior, so existing text pages are not simply re-recognised as ordinary scans. A preliminary text-presence heuristic can report that a document is already searchable. That heuristic is not a complete audit of the quality of an existing text layer.
Use Force OCR only when you deliberately need to reprocess an unsuitable text layer. That mode can rasterize pages and replace existing text recognition, changing document behavior and detail. It is not a harmless checkbox that always improves a PDF.
Keep the right expectations for the output
A searchable text layer does not reconstruct the source Word document or its original table structure. Page rotation may be corrected during processing. Forms, links, digital signatures and other advanced features require separate inspection; OCR does not certify that an original signature remains valid after rewriting.
Compare recognised names, dates and amounts with the visible page before relying on copied text. For a plain text result from a single image, use Image to Text instead.
Troubleshoot errors and long jobs
A protected or corrupt source may need an authorised readable copy. A large document can exceed job or resource limits; use Extract PDF Pages to test a relevant smaller section. This workflow uploads the PDF to the server. Download the temporary output promptly, keep originals, and do not treat a successful job as an archival or legal validation of the document.
