Reduce PDF Size and Check Quality

Reduce a PDF for a receiving size limit while checking the actual result rather than expecting a fixed saving.

Check the receiving rule first

Record the maximum file size and whether the recipient also requires readable signatures, scans or forms. A smaller PDF is only useful if it remains suitable for that task. Keep the original before trying any compression preset.

Compress PDF

Files are processed securely on our servers and deleted automatically after processing.

Open the dedicated conversion workflow to upload your file, follow job progress, and download the result. This utility processes files on Toolza’s server.

Compare one preset at a time

The standalone tool offers Screen, Recommended and High quality choices backed by different Ghostscript presets. Start with Recommended, download the result and compare small text and page images. Try the lower-quality choice only if necessary and the resulting detail remains adequate.

For an illustrative 5 MB upload limit, a 7 MB input is too large, but there is no setting that guarantees an output below 5 MB. Use the actual output bytes to decide whether the receiving rule has been satisfied.

  1. Upload the original PDF and select a preset.
  2. Wait for completion, then download the result.
  3. Open representative pages and inspect details that matter.
  4. Check the final downloaded size before submitting it elsewhere.

Understand zero savings

The backend compares its re-encoded output with the original. If the new file is not smaller, it returns the original bytes under the compressed-result filename. Zero savings can therefore be a correct result for an already optimised PDF, not necessarily a failed job.

A PDF containing mostly efficient text and vectors may have less room to shrink than a document full of large page images. Repeating compression on an already degraded copy can reduce quality without producing a useful further saving.

Check features as well as visible pages

The compressor rewrites the PDF; it is not a promise to preserve digital signatures, interactive forms, bookmarks or every advanced feature. Verify those features separately when they matter. A visually similar output does not establish that an original signature remains valid.

This tool processes an uploaded PDF on the server. Keep your own copy, download the completed job promptly and follow the site’s temporary-file policy.

Troubleshoot a persistent size problem

Remove unneeded pages with Extract PDF Pages, or obtain a cleaner, appropriately sized source scan. Check whether the portal uses decimal or binary size units and leave a small margin. Protected or damaged files may need an authorised source copy before compression. Do not lower quality until essential text or identifying details become unreadable merely to meet a number.
